1. Introduction
Avatravel, in management of our business and providing a taxi and shuttle booking and dispatch service needs to gather, process and store personal information relating to identifiable individuals. This information can include customers, suppliers, business contacts and other persons with whom the company has a business relationship.
2. Why This Policy Exists
The policy describes how data is collected, processed, protected and stored to meet data protection standards and to comply with legislation. The policy ensures Avatravel:
- Complies with data protection law and follows best practice in data protection.
- Protects the rights of the individual.
- Protects from the risk of data breach.
3. Gathering of Personal Data
Avatravel will collect the minimal information necessary for the service provided. The data includes a full name, street address, email address, phone number.
We process passenger data in order to perform the transfer booking contract with you, and to comply with our legal obligations as a licensed operator. Where a journey is booked on your behalf by a company, we receive your details from that company rather than from you. Where we rely on your consent for anything, we will say so, and you may withdraw it at any time.
Information is gathered by email, website, mobile app and/or direct telephone contact with an Avatravel customer service agent. Avatravel cannot provide a passenger transfer booking service without this information. Avatravel records all phone calls for training and monitoring purposes.
Where we work with businesses rather than individual passengers, the information we collect is described in the section on business partners and corporate accounts below.
4. Business Partners and Corporate Accounts
As well as passenger data, we process information relating to businesses we work with or would like to work with. This includes hotels, guesthouses, venues and other partners in our commission programme, companies holding corporate accounts, and the individuals who represent them.
What we collect. Business name and address, company registration and VAT numbers, and the names, job titles, email addresses and telephone numbers of the individuals who act for that business. Where a partner joins our commission programme we also collect bank account details for the purpose of paying commission, and any logo or image supplied to us for branding a booking page.
Where it comes from. Usually directly from the business, through our partner application form or by email. We also obtain business contact details from commercial business-to-business data providers and from publicly available sources such as company websites, in order to introduce our services to businesses we believe may be interested. If you have received an email from us and would like to know where your details came from, or would prefer not to hear from us again, contact partners@avatravel.ie and we will act on it.
Why we use it. To assess partnership enquiries, open and administer partner and corporate accounts, calculate and pay commission, issue self-billed commission statements and invoices, meet our accounting and tax obligations, and communicate with account holders about their account and our services.
Travellers booked by a corporate account. Where a company books travel for its employees or guests, we receive the traveller's name and contact details from that company rather than from the traveller. We use this information only to carry out the journey and to provide the booking company with a record of the trips made on its account, which means the company can see the journeys booked in its name. If you are travelling on a corporate account and would like to know what information we hold about you, contact us using the details below.
Our legal basis. For administering an account, carrying out a journey and paying commission, performance of a contract. For issuing statements and invoices and retaining accounting records, compliance with a legal obligation. For carrying out journeys booked by a company on behalf of a traveller, and for introducing our services to businesses we do not yet work with, our legitimate interests in operating the service and in developing business-to-business relationships, balanced in each case against the limited intrusion involved. You may object to processing based on our legitimate interests at any time.
How long we keep it. Account and contact details for the life of the relationship and for a reasonable period afterwards. Records relating to commission payments, statements, invoices and tax are retained for the period required by Irish tax law. Bank details are deleted when the relationship ends and no further payment is due.
Bank details. These are used solely to pay commission owed to you. We will never ask you to confirm or change bank details by email alone. Any change is verified by telephone on the number we already hold for you.
5. Why we use your Personal Data
Avatravel will use personal information only for provision of a transfer booking service and will retain this information only for as long as required by regulation.
Where you are a business partner, a corporate account holder or a business contact rather than a passenger, we use your information for the purposes set out in the section on business partners and corporate accounts.
6. Transfer to Third Parties
Under certain circumstances, your personal data will be transferred to a third party:
- Information necessary to complete the service will be provided to the allocated service supplier. The information is not retained after completion.
- We use an approved third party service provider to send transfer booking information to you. Processing takes place under our control. Third parties are bound by data processing and confidentiality agreements.
- Our booking and dispatch platform, which holds booking and account information.
- Our accounting software, which holds invoices, statements and payment records.
- Our email and productivity provider.
- Business-to-business data and outreach providers, used to identify and contact prospective business partners.
- Our online form provider, used to collect partner applications.
- Where a journey is booked through a corporate account, the company holding that account, which receives a record of the journeys booked in its name.
- Where required by law (or any regulation having the force of law), legal process, court order or subpoena, Avatravel may disclose your personal data, if strictly necessary.
Some of these providers are established outside the European Economic Area. Where that is the case, transfers are made under appropriate safeguards such as the EU Standard Contractual Clauses or the EU–US Data Privacy Framework.
7. Security
Avatravel takes your privacy seriously. We observe strict data security procedures to prevent data misuse, disclosure, destruction, unauthorized access and/or use. We have several layers of security measures in place, including encryptions, restricted access, user access authentication and protocols, firewalls, anti-virus/malware etc.
Personal data is processed only by authorized Avatravel employees and persons in performing their duties in respect to our service and retained only for as long as necessary to meet statutory obligations as a Licensed Taxi Dispatch Operator. We will not disclose or use this data for any purpose other than that for which it is provided, except where required by law. Personal data will not be transferred or stored outside of the European Union / European Economic Area, except where we use third-party service providers (such as Google Analytics) that may process limited data outside the EEA under appropriate safeguards, such as the EU Standard Contractual Clauses or the EU–US Data Privacy Framework.
8. Control over Your Personal Data
You have the right to:
- Request details of the personal information held.
- Obtain a copy of personal data stored.
- Request correction where personal data is inaccurate or not up to date.
- Withdraw consent for use and retention of personal data.
- Be informed of how Avatravel meets its data protection obligations.
- Request erasure of personal data, where we are not required to retain it.
- Request that we restrict processing in certain circumstances.
- Receive a copy of data you provided to us in a portable format.
- Object to processing carried out on the basis of our legitimate interests, including direct marketing to business contacts.
You can make a request by emailing us at: info@avatravel.ie, or partners@avatravel.ie if your request relates to a partner or corporate account. Please write ‘Personal Data’ in the subject line of the email. We will ask you to verify your identity before acting on such a request. This is to ensure personal data is protected and kept secure. Requests will be processed as quickly as possible, and under normal circumstances within 30 days, unless there is a valid or legal reason for not doing so.

10. Complaint
Avatravel processes your personal information in compliance with this privacy notice and in accordance with the relevant data protection laws.
